An F&B company looking for a reliable, dynamic, positive working attitude and highly motivated candidates for a Executive Secretary


Job Responsibilities:
  •     Provides administrative support to the Director, including word processing, data management, travel arrangements, scheduling appointments, filing, and receiving and returning phone calls
  •     Prioritizes mail and communications for Director, ensuring mails are looked into promptly, and all incoming and outgoing documents and correspondences are complete
  •     Prepares materials to be used in Management Meetings, as required, and  drafts the minutes of the meetings
  •     Compile, transcribe, and distribute minutes of meetings. Attend meetings in order to record minutes
  •     Perform general office duties such as ordering supplies, and maintaining records management systems.
  •     Organize external and internal events

Job Requirements:
  •     Female, Maximum 28 years old
  •     Minimum Diploma Degree (D3) from Secretary Academy
  •     Having minimum 3 years experience in similar position
  •     Having trustworthy, precise, self motivated, teamwork, hardworking, interpersonal skill, communication skill, fast learner, proactive, and self initiative
  •     Having ability in managing time efficiently and mature
  •     Proficient with computer literacy, minimum Ms. Word, Ms. Excell, and Ms. Powerpoint
  •     Good command of English both written and spoken is a must
  •     Willing to work in Pluit (North Jakarta)

  •     Prepare correspondence, proposals, specifications, reports, organization charts, spreadsheets and presentations including typing, formatting, collation and distribution.
  •     Monitor reporting requirements and prepare monthly reports as directed.
  •     Maintain correspondence and filing.
  •     Coordinate travel and accommodation requirements.
  •     Minute taking and distribution of minutes.

  •     Max. 35 years old
  •     Bachelor degree holder
  •     Knowledge of controlling correspondence and documents including ability to maintain both electronic and hard copy filing as per project procedures
  •     Advanced MS Office suite (Outlook, Word, Excel and Power Point) skills
  •     Minimum 2 years of experience as a project secretary or similar role preferably within the industry
  •     Knowledge of engineering and construction terminology an advantage
  •     Good command in written and spoken English
  •     Special abilities;
  •         Excellent verbal and written communication skills
  •         Pro-active in problem solving with a keen eye for detail and quality
  •         Work independently with strong initiative and leadership
  •         High level of professionalism and integrity
  •         Able to work under pressure/tight deadlines
